PLANNINGBOOM INFORMATION

Privacy notice.

How PlanningBoom handles website enquiries, customer information and planning-lead data.

Who we are

PlanningBoom is a sole trader business providing planning-application lead services across Great Britain. For privacy questions or requests, contact enquiries@planningboom.co.uk or call 07353 757797. This notice covers information we handle for our own business and in providing our services.

Information you give us

When you enquire, we may receive your name, business name, email address, telephone number, trade, working area, requirements and the contents of your message. When you become a customer, we also handle your agreed specification, subscription and billing records, support correspondence and information needed to arrange delivery or a CRM connection. Please avoid sending information that is not needed for your enquiry.

The website enquiry process

The website form prepares a local preview and an email draft. You review it and send it from your own email app. The website does not automatically send the form or store its contents on a website server. Once you send an email or contact us directly, we handle your enquiry in our business communications. This website does not take payments or create subscriptions.

Planning applications and contact information

Our service scans and collates planning applications from council websites and organises them around customer requirements. Records may contain application references, proposals, project addresses, applicant or agent names and contact information where available. We may also consult relevant publicly available sources for contact details. Public availability does not, by itself, mean someone has consented to marketing or that their information can be used without restrictions.

Why we use information

We use information to answer enquiries, agree specifications, provide samples, arrange and deliver subscriptions, connect agreed CRM delivery, provide support, administer optional fulfilment, keep appropriate business records and handle complaints or data requests. Planning information is used to identify and share opportunities relevant to customer specifications; recipients must consider their own responsibilities before making an approach.

Our grounds for processing

We use an appropriate lawful basis for each activity. Responding to an individual’s request before a contract and delivering that contract may rely on contractual necessity. Business correspondence, matching planning information and managing service delivery may rely on legitimate interests where the use is necessary, fair and balanced against people’s rights. Record keeping may be required by law. Where consent is required, including for particular marketing channels, it must be obtained; a planning application is not a substitute for that consent.

Who may receive information

We share only information needed for the relevant purpose. This may include matched lead information with customers, delivery into a customer’s agreed CRM, hosting and email providers, professional advisers, and printing or postal providers for enabled fulfilment. Different parties may act as processors or independent controllers depending on their role. We do not use website enquiries to create a marketing list for sale.

Hosting, fonts and cookies

Hosting providers may process technical information such as IP addresses, request times and browser details to operate and secure the website. The website loads Google Fonts to display its typefaces; your browser may request font files directly from Google. The site has no analytics or advertising integration and does not set optional analytics or advertising cookies through its own code. Your email app and external websites have their own privacy arrangements.

Keeping information

Our general retention periods are: inactive prospect enquiries, up to 12 months after the last meaningful contact; customer administration, for the relationship and then only for as long as needed, with financial, contract or dispute records retained for up to six years after it ends; operational lead data, normally up to six months unless an active service matter requires it for longer. We keep a minimal record of objections or suppression requests for as long as necessary to honour them. Information is deleted or anonymised when it is no longer needed, subject to legal obligations and legitimate disputes.

Security and overseas processing

We use reasonable organisational and technical measures to limit access and protect information. Email, hosting, fonts or other service providers may process information outside the UK. Where a restricted transfer occurs, the appropriate transfer arrangements and safeguards must apply. No internet or email service can be guaranteed completely secure.

Your rights and direct-marketing objections

Depending on the circumstances, you can ask to access or correct information, request erasure or restriction, request portability, object to processing and withdraw consent where consent is the basis. You can object to the use of your personal information for direct marketing at any time. Email enquiries@planningboom.co.uk with enough information for us to identify the relevant record; we may need to verify your identity. We can review information we hold, but cannot alter a council’s own public planning register.

Questions, complaints and updates

Please contact us first if you have a concern so we can try to resolve it. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk. We update this notice when our practices change. Last updated: 13 October 2026.
